This privacy policy applies to Admin4You Ltd, trading as Bookkeeping4You UK (“we,” “us,” “our”). Admin4You Ltd is registered in England and Wales, company registration number 07778894, with its registered office at 61 Bridge Street, Kington, HR5 3DJ. This policy covers our websites (www.bookkeeping4you-uk.com, admin4you-uk.co.uk and any associated domains), the bookkeeping and accountancy services we provide to clients, and the digital products sold through our websites.

We take your privacy seriously and are committed to complying with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Admin4You Ltd, trading as Bookkeeping4You UK, provides bookkeeping, management reporting, Self Assessment and limited company accountancy services to sole traders and small businesses across the UK, and sells downloadable business templates through our websites.

2. What Information We Collect

Depending on your relationship with us, we may collect:

If you’re a client:

Name, address, email, phone number

Business name and registration details

Financial records (invoices, receipts, bank statements, transaction data)

Bank account details (for direct debit payment collection)

Tax and HMRC-related information (UTR, VAT number, PAYE references)

Payroll information for your employees, where applicable (names, National Insurance numbers, salary details)

If you buy a product from our website:

Name, email address and phone number

Billing details and order history

Confirmation that you agreed to immediate access to your download and acknowledged the loss of your right to cancel

Card payments are processed securely by Stripe and direct debit payments are processed by GoCardless. We do not see or store your full card or bank details.

If you’re a website visitor:

Information you provide via contact forms (name, email, phone, message content)

Technical data such as IP address, browser type and pages visited, via cookies (see Section 9)

3. Why We Collect It (Our Legal Basis)

We process your data under the following legal bases:

Contract: to provide the bookkeeping, reporting or accountancy services you’ve engaged us for, and to process and deliver products you buy from us

Legal obligation: to meet HMRC, Companies House and other statutory record-keeping requirements, including keeping records of sales

Consent: where you’ve opted in to receive marketing communications from us, or accepted non-essential cookies

Legitimate interest: to respond to enquiries, prevent fraud and improve our services and website

4. How We Use Your Information

We use your information to:

Provide bookkeeping, reporting, Self Assessment and accountancy services

Prepare and file returns and accounts with HMRC and Companies House on your behalf, where instructed

Process payments by direct debit or card

Deliver digital products you have purchased and provide support if a file is faulty

Communicate with you about your account, order or our services

Comply with our legal and regulatory obligations

Send you marketing updates, only where you’ve given consent (you can withdraw this at any time)

We do not use your data for automated decision-making or profiling that has a legal or similarly significant effect on you.

5. Who We Share Your Information With

We may share your data with:

HMRC and Companies House, where required to file returns or accounts on your behalf

Software providers we use to deliver our services, including Zoho Books, QuickBooks, Xero, Wave, QuickFile and Sage

Payment processors, for direct debit collection and card payments, including [payment provider]

Our website and CRM platform (GoHighLevel), for hosting our website, managing client communications, bookings and orders

Google (Google Workspace for email and file storage, and Google Tag Manager on our website)

We do not sell your personal data to third parties. Any third party we share data with is required to handle it securely and in line with UK GDPR.

6. International Transfers

Some of our service providers, including GoHighLevel and Google, are based outside the UK, and our team works from within the European Union. Where your data is transferred outside the UK, we rely on UK adequacy regulations (including for the EU/EEA and the UK–US Data Bridge) or appropriate safeguards such as the UK International Data Transfer Agreement or Addendum, to make sure your data remains protected.

7. How Long We Keep Your Information

We keep financial, tax and sales records for at least six years, in line with HMRC and Companies Act requirements. Other personal data is kept only as long as necessary for the purpose it was collected, after which it is securely deleted.

Under UK GDPR, you have the right to:

Access the personal data we hold about you

Request corrections to inaccurate data

Request deletion of your data (where we’re not legally required to retain it)

Object to or restrict certain processing

Receive your data in a portable format, or ask us to transfer it to another organisation (data portability)

Lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk if you believe your data hasn’t been handled properly
